The Organisation
Achieve Australia supports over 1,700 employees delivering Supported Independent Living, Community Participation, and other disability supports across NSW and ACT. With 30 onboarding and offboarding events per month across a complex multi-system environment, the manual process had become a significant operational liability.
Where It Started
Every new starter at Achieve Australia triggered a chain of manual tasks across three separate teams. HR entered the employee into ELMO. IT separately provisioned their Microsoft 365 account in Entra ID. L&D sent induction materials by email. Offboarding followed the same fragmented pattern in reverse — with no guaranteed sequence and no audit trail confirming every step was completed.
With 30 onboarding and offboarding events per month, the cumulative cost was significant. Steps were missed. Access wasn’t revoked on time. New starters arrived on day one without system access. IT, financial, and cybersecurity audits had flagged the manual credential sharing process as a security breach risk — credentials were being tracked down and shared via email and Teams messages.
What Was Built
TechRam designed and built an end-to-end Employee Lifecycle Automation pipeline connecting the three core systems: JobAdder (recruitment), ELMO (HR and payroll), and Microsoft Entra ID (identity and system access).
When a candidate is marked as hired in JobAdder, the pipeline triggers automatically. Employee data flows into ELMO, a position-matrix determines the correct access profile, and Entra ID provisions the account with the right permissions from day one. HR, IT, and L&D each receive automated task assignments with clear ownership and deadlines. Offboarding follows the same automated logic in reverse — access revocation, data management, and exit documentation all triggered from a single HR event. Every step is logged, timestamped, and available on demand for audit purposes.
