The organisation
Achieve Australia supports over 1,700 employees delivering Supported Independent Living, Community Participation and other disability supports across NSW and the ACT. Thirty onboarding and offboarding events a month, in a multi-system environment, had turned a routine process into an operational liability.
Where it started
Every new starter triggered a chain of manual tasks across three teams. HR entered the employee into ELMO. IT separately provisioned their Microsoft 365 account in Entra ID. L&D sent induction materials by email. Offboarding followed the same fragmented pattern in reverse, with no guaranteed sequence and no audit trail confirming every step had been done.
Steps were missed. Access was not revoked on time. New starters arrived on day one without system access. IT, financial and cybersecurity audits had all flagged the same thing: credentials were being tracked down and shared over email and Teams messages, which is a breach risk however carefully people behave.
What we built
One employee lifecycle pipeline connecting the three systems that already held the data: JobAdder for recruitment, ELMO for HR and payroll, and Microsoft Entra ID for identity and access.
- Marking a candidate hired in JobAdder starts the pipeline, with no second entry anywhere
- Employee data flows into ELMO, and a position matrix determines the correct access profile
- Entra ID provisions the account with the right permissions from day one
- HR, IT and L&D each receive an assigned task with an owner and a deadline
- Offboarding runs the same logic in reverse: access revoked, data handled, exit documentation raised from one HR event
- Every step is logged and timestamped, and available on demand for an audit

After six months in production, 120 hours a month and $126K a year of operational cost had come back, and the audit trail the auditors had asked for existed as a by-product rather than as a separate exercise.
